IT Coordinator Required in Dubai
As Executive Assistant to the Head of Technology and Innovation, you will be responsible for the effective and efficient day-to-day management and organisation of the Head of Technology and Innovation activities and business. This will include acting as the main point of contact for the Head of Technology and Innovation, complex diary management, organising and supporting high-level senior meetings and report and presentation writing.
The IT Coordinator will also manage and maintain IT department related procurement, contracts, budget and meetings with internal and external employees and customers.
Core duties and responsibilities
·Responsible for the day to day management of the Head of Technology and Innovation electronic diary ensuring optimal use of the time and to respond accordingly to all changes.
·To manage all administrative aspects of the role in an efficient, effective and professional manner.
·Ensuring all meeting agendas and minutes are documented and are received and available in good time to allow the necessary briefing and sourcing of further information if required. To circulate any pre-reading and log actions where required.
·To keep excellent records of all meetings and decisions made as appropriate.
·To be responsible for taking the minutes of meetings when required.
·To deal with IT budget spending and make sure nothing exceeds the threshold.
·To undertake specific project work and any other duties appropriate to the grade and as required by the Head of Technology and Innovation.
·Generate and maintain an inventory of all procurement requests and contracts.
·Escalate highly complex issues to ensure timely and accurate resolution
·Coordinate with respective technical teams for investigating and delivering resolution
·Maximise available software to reduce cost & resource wastage and thereby increase transactions and profitability.
Compliance
·Ensure all services provided by the function are compliant with the CBUAE and WSE policies & procedures.
·Raise any concerns surrounding compliance and risk related issues, either directly or through the whistleblowing procedure using risk.report@wallstreet.ae
·Be aware within the team and wider organisation of the employee responsibility in working in a risk free and compliant manner.
·Attend risk and compliance awareness programmes during the course of the employment whether it is as part of the on-boarding process or the annual refresher training.
Knowledge & Skills
Essential
·MS Office (predominantly Excel and Word), Google Suite, any standard IT Ticket management tool
Strong telephone etiquette.
.Excellent attitude to client service with excellent interaction skills
.Excellent written and verbal communication and interpersonal skills
.Ability to multi-task in a fast paced office environment
.Strong time management skills, adaptability, ability to work in shifts
.Ability to interpret, comprehend, and transmit detailed instructions accurately

Educational Qualifications:
.Bachelor’s degree business administration or computer science or equivalent demonstrable experience
Professional Certifications:
· ITIL
Relevant Experience:
· 4+ years in a customer facing environment
